Dear Ports Presenters,

The submission of final and revised technical manuscripts packages has been completed. These packages have been catalogued and processed for submission to the ASCE Publications Department, for publishing the Conference Proceedings on a CD-ROM, which will be made available to full registration paid attendees, at the Conference, in Houston, Texas, May 23 - 26, 2004.

The next order of business, in organizing the Conference, is obtaining from you, identification of the primary and alternate individuals, who will make the technical presentation of your manuscript, at the Conference. Many of you, had previously provided this information, when you first submitted your abstracts for peer review consideration and evaluation, prior to or in April 2003. Since then, a lot of things have happened (employment status changes, employer changes, health condition changes, etc.) and I want to confirm the identities of the individuals, who will be making presentations in the Conference's Technical Sessions. Please email me (sac63chevy@hotmail.com), the names of the primary and alternate presenters for your manuscripts, as soon as you can.

In late February, early March 2004, you will receive, in the mail, Biographical Information, Audio/Visual Request and Speakers' Breakfast Reservation forms from ASCE Headquarters. Please complete these forms, as instructed, and return them by the date stated, to the identified individual, at the denoted ASCE Headquarters address. Also, you will receive a copy of the Ports 2004 Conference Preliminary Program. Please review the Program for the date and time of the Technical Session, in which your manuscript will be presented. Depending on the number of presenters in your Technical Session, you will have approximately 20 minutes (4 presentations per 90 minute session); 22 minutes (5 presentations per 120 minute session); or 25 minutes (3 presentations per 90 minute session, or 2 presentations per 60 minute session). All Technical Sessions' presentations will be conducted in the Westin Galleria Ballroom area.

In late April, 2004, approximately, one month prior to the Conference dates, the individual, who is the Moderator for the Technical Session in which your manuscript will be presented, will contact you, regarding your planned presentation. The Moderator may request you to provide an electronic copy of your planned presentation for review, prior to the Conference. The purpose of this review is to assure the conformity, consistency and quality of the Conference's technical presentations. The Moderator's evaluation will be constructive and will assist you in the preparation of your presentation materials.

Prior to the Conference dates, please carefully practice your presentation, with your audio/visual aids; keeping in mind, the amount of time you will be allotted, to make your presentation, in the assigned Technical Session. Also, please plan to attend the Speaker's Breakfast on the morning of your presentation. This breakfast is intended to confirm your arrival to the Moderator and meet the other presenters in the Technical Session. The breakfast is only for the presenters/Moderators in the Technical Sessions, scheduled this day. There will be a Speaker Ready Room, open for use, every day of the Conference. The room will provide you, with an opportunity to prepare for your presentation, one final time for your presentation and to check your audio/visual aids.

As you know, the Ports 2004 Conference is self-supporting and all presenters must register and pay the appropriate registration fee to participate in the Conference. Please take advantage of the "Early Bird" registration fees, by registering with payment in full, by April 23, 2004. The Conference Preliminary Program will include instructions for Conference registration and associated fees, as well as, hotel reservations and special Conference lodging rates; airline and car rental reservations, with promotional codes. The package, you receive from ASCE Headquarters in March 2004, will contain detailed information, regarding these and other Conference matters, such as, onsite Conference registration, receipt of your Conference registration package, Speakers' Breakfast and Ready Room, etc.
